The 21st Century CURES Act requires Electronic Visit Verification (EVV) systems for Medicaid-funded personal care services (PCS) and home health care services. CareSphere requires ALL Home Health Aides, Direct Care Workers and Licensed Practical Nurses to utilize EVV to confirm the patient was serviced.
Your paychecks are determined based on your EVV clock-in and clock-out record
Clocking in and out is MANDATORY
Non-Compliance: Failure to use EVV for clocking in and out will result in disciplinary action.
There is no excuse for not clocking in! Some examples of common excuses which will not be tolerated. |

Excuse: "I forgot to clock in/out" Avoidable: Keeping in mind that if you don't clock in you will not get paid, this must be a habit. You don't start your day without clocking in. If you did forget, then it sends us a message that not too much thought was given while tending to the patient and the patient may have received below average care that day. |
Excuse: "My app wasn't working" Avoidable: This is a common issue. The Mobile app relies on outside technology not provided for by CareSphere. Over the years we have come to the understanding that while it is a convenient way of clocking in and out, it does glitch 40% of the time. Therefore we have implemented a telephony system too. If your app doesn't work, clock in using the telephony system instead. |
Excuse: "My app password wasn't working" or " I forgot my password" Avoidable: This is not an excuse for not clocking in/out. If you are having trouble with the app, call your HR Specialist immediately to get it resolved. If you cannot get it resolved right away, use the telephony system to clock in until its resolved. |
Excuse: "I got busy with my patient as soon as I walked thru the door" Avoidable: all clients are aware that the caregivers need to clock in at the start of the shift. Clocking in takes 20 seconds. Kindly explain to the client that you must clock in and then start your day. If this tends to be an issue with a specific client, clock in with the mobile app before you knock on the door. |

At CareSphere, we understand that everyone makes mistakes, and we're here to guide you every step of the way. Electronic Visit Verification (EVV) is crucial, but we've designed a structured process that's both supportive and fair.
Offense #1 = Discussion/Training (We're in This Together)
The first time you forget to clock in or out, our HR Specialist will reach out to have a friendly chat. We'll provide you with a refresher training on EVV to make sure you're crystal clear on how it works. We're all about learning and growing, so this is an opportunity to improve!
Offense #2 = Written Warning (Let's Find a Solution)
If, after training, you still encounter issues with EVV, don't worry, we're here to help! The HR Specialist will work closely with you to find a way to avoid manual entries in the future. You'll also receive a written warning, which is simply a formal heads-up. We'll provide a summary of our conversation to ensure we're on the same page about expectations.
Offense #3 = Final Warning (Last Chance to Shine)
In the rare event that EVV challenges persist after the written warning, we'll need to issue a final warning. You'll be placed on a 28-day probationary period. This is the final opportunity to show your commitment to using EVV correctly. If, during these 28 days, you continue to have issues with EVV, we may have to part ways.
Termination (Our Last Resort)
We genuinely work hard to resolve any issues and provide you with the necessary training to make EVV a breeze. It's crucial to remember that EVV is mandatory according to regulations, and we take it seriously. If, unfortunately, you don't meet the requirements during your 28-day probationary period, we may have to make the tough decision to terminate your employment.
